New Personnel Action to Support Pending Employees

 

The IRIS system has been enhanced to allow departments to recognize new employees well in advance of the actual hire date. A department may now use the Record a Pending Employee  form to initiate the process for entering into IRIS a person who has accepted a position with the University with a hire date in the future (i.e., faculty or administrators hired 1 to 6 months before the actual start date).   The purpose of the Pending Employee is to allow a NetID to be assigned (or reactivated) for the employee.   Assignment of a NetID allows the person to have e-mail and access to other services much sooner than in the past.

 

A Pending Employee position has been created for every department within UT.  The position title on each of these positions is ‘Pending Employee’.  Multiple individuals may be assigned to these positions simultaneously. Departments should use these positions when recording a pending employee. In rare cases where a specific title is necessary, an additional pending employee position may be requested through the campus HR office.

 

A paper form has been created for departments to initiate a Record a Pending Employee action. This form is available on the IRIS web site. Instructions for the proper use of this form are also available.  By mid-summer an e-form will be provided to replace the paper form.  More details on the e-form will be provided at a later date.

 

IMPORTANT NOTE: When the Pending Employee begins work, the normal hire process/authorization must still be completed. The decision to first recognize the employee as a ‘Pending Employee’ is strictly optional.
